Working with Reserve Head Ranger to ensure all game drive regulations are adhered to

1. VEHICLES

1.1  Ensure that vehicles logbooks are kept up to date and all km and trips are recorded

1.2  Vehicle inspections on a weekly basis on all vehicles

1.3  Ensuring that job cards are completed with the workshop and check after service

1.4  Vehicle handovers are done between rangers

1.5  Damage to vehicles is followed up and necessary action be taken

1.6  All tyres are in good order and spare tyres are not used as tyres outside emergencies

1.7  Vehicles are washed, buffed, clean and tidy inside and outside

1.8  All faults are reported in writing to the workshop

1.9  All accidents to be reported immediately to management, incident report to be completed

1.10 All hi lift jack, wheel spanners etc are with the vehicle at all times.

1.11 Ensure that all faults on the vehicle are reported and fixed immediately. 

1.12 Ensure that all radios in the vehicles are switched off when not in use in the carports

1.13 Ensure that the radios are all in good working order, if not arrange for their repair

1.14 Feedback on vehicles to be given in your monthy report to the general manager by the 15th of

 every month

1.15 Ensure that all vehicles have the necessary fuel and no vehicle is left stranded.

1.16 Fuel logs to be kept for each vehicle

1.17 Arrange necessary scheduled maintenance services for every vehicle at the lodge

1.18 Follow up repairs and maintenance with the workshop for all vehicles

1.19 Ensure that all parts and payment are arrange with the assistance of the general manager

1.20 Ensure that the workshop is neat and tidy at all times and that the rangers are receiving the

necessary support from the workshop.  Report any issues immediately to GM.

1.21 Punctured tyres to be repaired without delay and equipment stock to do so to be ordered by yourself.

1.22 When vehicles are not in use their keys are to be locked in the key box in the rangers room.

Key register is to be kept.

1.23 No staff member may use a vehicle that is not for company purposes.

1.24 No unnecessary driving of vehicles is permitted

You are completely responsible for all vehicles

2. GAME DRIVE EQUIPMENT

2.1  Complete stock count of all game drive equipment to be done by the 15th of every month.

2.2  All stock sheets to be signed off and handed to the general manager by the 16th of every month

2.3  All non- functioning equipment is to be repaired immediately or if it cannot be repaired report to

 GM immediately

2.4  Stock control needs to be carried out on a daily basis

2.5  Stock that is damaged or broken to be reported in order to get replaced without delay

2.6  All stock to be clean and in good working order at tidy at all times

2.7  All issued stock to individuals to be signed for by employees

2.8  Shortages of equipment will not be acceptable

2.9  Blankets and fleeces are to be washed on a regular basis.

2.10 Ponchos are to be clean and dried accordingly

2.11 Spotlights are to be in good working order

3.     RADIOS AND HAND HELDS

3.1 All radios in the lodge are the responsibility of the head ranger

3.2 Radio is to be kept dry and in good working order

3.3 Hand held radios are to be accounted in monthly stock takes

3.4 Radios are to be signed for by each individual

3.5 Hand held are to be in good working order at all times

3.6 Head ranger is responsible to assist to keep service records of each radio on the property

3.7 Head ranger is responsible to  assist to ensure radios are kept in good working order

3.8 Head ranger is to assist head ranger to ensure that all staff making use of a radio uses the correct

 channels and terminology in a professional manner on the radio at all times.

3.9 Any maintenance or working issues of the repeater has to be reported to the correct repair company

with immediate effect.

4.      UNIFORM

4.1 The head ranger is to ensure to assist the head ranger to set the example to his team and ensure

 that the dress code policy set out in the rangers policy is upheld

4.2 The head ranger is to ensure that all his staff are wearing the correct African Hotels and

Adventure uniform.  Past companies uniform is not permitted

4.3 Uniform will be worn with pride.  It shall be neat, clean and well ironed at all times

4.4 Shoes are to be boots or walking shoes, no slops or strops or crocs are to be worn ever

4.5 Rangers and trackers will have shiny boots at all times

4.6 Socks of a neutral colour, brown, black, stone can be worn – no bright or colourful socks

4.7 Uniform tears or missing buttons are to be repaired immediately

4.8 Shirts are to be tucked in at all times

4.9 Brown and black belts may be worn with no large or colourful buckles

4.10 Assistant Head ranger is to assist the head ranger to ensure that the dress code and hygiene

 code is kept to standard at all times which includes facial hair, jewelry, hats, sunglasses, etc

5.     FUEL

5.1 The head ranger is responsible to assist in the management with the head ranger for the supply,

stock and management of the diesel and petrol used at the lodge

5.2 Fuel dip stock readings are to be done each time fuel is issued

5.3 The assistant head ranger is to accept the delivery of fuel in the absence of the head ranger and

ensure that the litres delivered are correct and as per the delivery note and invoice.  Dip stick readings

 are to be taken below the tanks are filled by the delivery company and again afterwards.

5.4 The assistant head ranger is responsible in the absence of the head ranger  for the ordering of the

 diesel and petrol for the lodge.  You need to give at least 1 weeks supply left from date of order to date

 of delivery.

5.5 The assistant head ranger is to ensure to assist the head ranger that there are fill up schedules in

place and that they are adhered to.

5.6 Fuel log sheets will be completed correctly and in a tidy manner at each fill up.  These records are

 to be accurate and recorded correctly

5.7 Fuel records are to be recorded onto the xcel fuel records per vehicle after each fill up

5.8 On the last day of each month, a dip reading is to be done and recorded and with the completed

fuel input sheets are to be emailed to the accounts department.

5.9 Monitoring of each vehicles usage of fuel is the responsibility of the head ranger

5.10 Any fuel shortages are the responsibility of the head ranger

5.11 The keys and belts for the fuel pumps are to be kept in the gm office and collected each time they

are needed for fill ups.

5.12 Fuel records are to be accurate and completed in a neat manner on the sheets.

5.13 Month end procedure are to be followed accordingly

6.     ADMINISTRATION

6.1 Staff Registers

Staff registers are to be completed every day, it is the responsibility of the head ranger to do so

but in the absence of the head ranger to you to keep records up to date

Sick notes are to be received from staff who are off for longer than 1 day.  These are to be

 given to accounts to record on payroll

All staff are to sign leave forms when taking time off – even half days

All sick days, compassionate leave, annual leave, public holidays, absent days, etc are to be

 recorded correctly and have the correct back up documentation.

6.2 Staffing and Leave Cycles

The head ranger is to ensure that ranger the department is staffed accordingly at all times and

you have enough staff to accommodate the occupancies.  You are to ensure to get cv’s etc to

 present to the gm for review for vacant positions.  Advertise internally,

Set up interviews.



Skills/Requirements:

6.3 Legalities

You are to ensure that every ranger and tracker’s legal requirements are up to date, eg, PDP,

 first aid, FGASA qualifications, drivers licence, DEAT, Advanced rifle handling, firearm

 competency and registration, etc.  It is your responsibility to have copies of these qualifications

on each individuals file and ensure that they do not expire.

6.4 Staff Assessments

You are to arrange any FGASA assessments and exams for your team.  You are to motivate

and mentor you team to get further qualifications.

6.5 Staff Appraisels

Every 6 months each of your staff are to receive a staff appraisals or performance review. 

This is to be minuted and documented and placed on the staff files.

6.6 A monthly report is to be sent to the GM by the 30th of every month on the above  headings

feeding back your departments performance for the month and requirements. 

6.7  Records of Game Sightings

Data to be completed by the team daily and reported on in your head rangers report each month

6.8  Records of all training

Records are to be signed off by yourself and the staff member.  The documents are to be kept on

 each staff members file and reported on in the head rangers report.

6.9 Fuel Records

Records to be kept up to date on a daily basis

6.10 Stock sheets

Stock sheets are to be to be completed, recorded and handed to accounts department as

 per month end schedule

6.11 Receipt of Issued Equipment

Filled out and completed when equipment is issued.  The old equipment to be returned. 

Records is to be kept on each staff members file

6.12 Training Records, shooting assessments, etc both formal or informal is to be recorded on training

 forms and submitted to GM for month HR reports. Ranger Qualifications and Legal Requirements

 

Copies are to be kept and monitored on expiring dates to follow up with the staff member

 to ensure he gets what he needs to guide.

6.14 Vehicle Checks

Once a week a check on all lodge vehicles and their service records are to be kept and

 updated accordingly, filed and reported on to the general manager.

7.   TRAINING AND MENTORING TO DEVELOP YOUR TEAM

You are to ensure that your team receives regular training from yourself and your assistants.

 Assist all members of the ranger and tracking team to obtain their FGASA level 1

with course material, assistance is studying and explanation.  Help your team grow.

Get staff wanting to obtain their FGASA trails qualifications.  Mentor your team to develop into a stronger,

knowledgeable, well rounded, interpretive, passionate and guest focused team.

8.    RESERVE

Work closely with the reserve manager to ensure that the necessary roads and

Maintenance areas needed occur.  Also reporting will be required of any mortalities and injuries of animals  

to him. Ensuring that all reserve regulations, policies and driving / radio procedures are adhered to by the team.
